Every volunteer and/or paid employee 18 years of age or older working with or for a local baseball association, affiliate association or Baseball Ontario must have completed Volunteer Screening in order to be eligible to be insured under the Baseball Ontario liability policy.

Every volunteer will fall into one of three risk groups, as determined by their local association. Below is an excerpt from the Volunteer Screening Policy:

Risk Level  Description  Requirements
Level 1 Low Risk:

Volunteers who are never alone with children or Vulnerable Individuals, and only interact on the field of play in the duty to the game, for example:

  • Parents, youth, or volunteers who are helping out on a non-regular or informal basis
  • Programs where volunteers are never left unsupervised with Vulnerable Individuals, and activities do not include travel without the VI’s parent/guardian.
  • Volunteers and employees involved with Adult Leagues (i.e. Leagues where no participants are under the age of 18
  • Umpires who are never alone with children or Vulnerable Individuals, and only interact on the field of play in the duty to the game
  • Tournament personnel who are never alone with children or Vulnerable Individuals and only interact on the field of play in the duty of the tournaments
  1. Complete a Screening Disclosure Form
  2. Complete Safe Sport Module through Coaches Association of Canada
Level 2 Medium Risk:
  • Non-coach employees, managers or supervisors
  • Directors
  • Coaches or support personel of non-travelling teams
  1. Complete a Screening Disclosure Form
  2. Complete Safe Sport Module through Coaches Association of Canada
  3. Complete and provide a VSC
Level 3 High Risk:
  • Coaches or support personnel (i.e. trainers or first aiders) who travel with athletes (travelling teams)
  • Coaches or support personnel who could be alone with athletes
  • Chefs de mission accompanying teams to national championships
  • Umpire Leaders (Umpire In Chief, Umpire Supervisor) who work with children under the age of 18
  • Baseball Ontario Umpire Clinicians
  1. Complete a Screening Disclosure Form
  2. Complete Safe Sport Module through Coaches Association of Canada
  3. Complete and provide a VSC

WHAT IS A VULNERABLE SECTOR CHECK AND WHY DO I NEED IT?

"A vulnerable sector check is a police information check plus a check to see if a person has a record suspension (pardon) for sexual offences. People who volunteer or have jobs where they are in positions of trust or authority over children or vulnerable persons can be asked to obtain a vulnerable sector check."

"To meet the legal requirements for a vulnerable sector check, the nature of the position – not the person – must cause the person to have authority over, or trust of, children or vulnerable persons. Children are defined as being anyone under the age of 18. The decision to request a vulnerable sector check is made by the hiring company or volunteer organization. If they determine that a position is one of trust or authority over children or vulnerable persons, they can request that an applicant for the position obtain a vulnerable sector check. The person or organization responsible for children or vulnerable persons also decides how often a vulnerable sector check must be repeated."

All volunteers are required to complete the following:

  1. A Vulnerable Sector Check (VSC) must be completed before you begin coaching. For the 2024 season, the NBBA will accept a VSC that was done in on or after September 2021. VSCs must be renewed every three years. The NBBA reserves the right to request an updated VSC from a volunteer at any time.
